Our Work:  The Ladder Alliance is a nonprofit organization serving Tarrant County since 2003. TLA is best known for providing innovative, essential educational programs to women victims of domestic violence, and low-income women.  Our team of educators, program/ administrators, and fundraising professionals lead with passion, and serve 250+ adult learners annually.

Purpose:  To support, promote and strengthen the mission and vision of the Ladder Alliance through effective management of office.

Position Summary: Under Administrative Supervision, the Administrative Assistance function is to ensure the efficient and smooth day-to-day operations of the office.

Administrative:

  • Answer phones in friendly professional manner, route calls to appropriate staff and takes messages.
  • Responsible for assisting prospective students over the phone with needed information regarding different programs and registers them for appropriate orientation maintaining appropriate program enrollment/intake wait lists.
  • Schedules room reservations, meetings, and records minutes of meetings; send minutes to meeting attendants as needed; makes copies of correspondence or other printed materials.
  • Responsible for collecting, tracking and documenting student fees.
  • Responsible for collection of student fees and documentation.
  • Responsible for purchasing needed supplies including office supplies, student meal items, gas cards and any other needed items – prior approval as needed.
  • Orders and stocks office supplies as necessary; processes purchases.
  • Creation of weekly (or as needed) cash donation reports for Executive Director.
  • Organizes board and staff meetings to include such items as meal orders, food for birthday celebrations and any other needed supplies.
  • Run work-related errands as needed.
  • Assists with the informational presentations to community agencies to enhance awareness and/or increase referrals.

 

Program Support:

  • Organizes board and staff meetings to include such items as meal orders, food for birthday celebrations and any other needed supplies.
  • Responsible for assisting prospective students over the phone with needed information regarding different programs and either registers them or signs the up for an intake process.
  • Maintains appropriate program enrollment/intake wait lists.
  • Attends staff meetings, and other meetings as necessary.
  • Advocate on behalf of The Ladder Alliance to recruit students, volunteers, community resources, to support the organization.
  • Responsible for creation and maintenance of student folders containing appropriate documents.
  • Accurately enters and maintains all class, instructors and student data in database in a timely manner.
  • Maintain close productive working relationship with instructors, volunteers, students and administrative staff.
  • Responsible for the follow up and completion of the student surveys at the 6 and 12 month follow up.
  • Must act in accordance with the agency’s mission statement and goals.
  • In accordance with the team philosophy of the agency, will routinely be required to carry out or assist with other tasks in addition to the activities listed above, as assigned by supervisor.

 

Qualifications:

  • High School Diploma; Bachelor’s Degree preferred
  • Spanish Speaking Required.
  • Proficiency in Microsoft Office Suite, Google Suite and basic office equipment (phone, fax machine, copier, printer).
  • Strong written and verbal communication skills in both languages.
  • Travel required: less than 20% locally.
  • Must have own transportation, valid Texas driver’s license, and auto liability insurance.
  • Ability to handle and prioritize multiple tasks while maintaining attention to detail.
  • Ability to work with diverse groups of people, in an open concept work environment, and be a team player.
  • Must be able to maintain confidentiality regarding clients and agency business.
  • Ability to work with people of various abilities and diverse backgrounds
  • Ability to lift and carry boxes of materials up to 30lbs.
